The Wikimedia Summit 2020 (WMSUMMIT20) is a meeting of all Wikimedia organizations (Wikimedia chapters, thematic organizations, user groups and the Wikimedia Foundation), as well as other committees to discuss the status of the Movement Strategy Process and, in general, the future of the Wikimedia movement in terms of collaboration, structures and organizational development.


Core program

Herewith we invite you to register for the Wikimedia Summit 2020, taking place in Berlin from Friday, April 3, 2020, through Sunday, April 5, 2020. This event is hosted and organized by Wikimedia Deutschland (WMDE), and funded by the Wikimedia Foundation (WMF). The core program will have only one track dedicated to the Movement Strategy Process. Registration deadline

The registration period is from November 7, 2019 to December 16, 2019. The deadline is Monday at midnight CET, December 16, 2019. Please note that no registrations will be accepted after this deadline. Please use this form to register. It takes up to 30 minutes to complete, depending on your need for a visa or travel booking.

We invite all eligible Wikimedia Affiliates to take part in the Wikimedia Summit. To ensure that we use the in-person time as best as possible, we ask Affiliates to only send delegates who will come with a good understanding of the movement strategy process and the draft recommendations, and are ready to take agency and responsibility to design and implement the recommendations in collaboration with every part of the Movement and our partners.

The Community Development team of the Wikimedia Foundation will be delivering the Learning Day programming as a post-conference event at the 2020 Wikimedia Summit this year. This year’s Train the Trainer learning experience will build upon previous programing insights as well as address the needs and requests of this years’ participants. The subject matter will be geared towards volunteers who are eager to develop or strengthen current skill sets to train movement organizing skills that will encourage others to build and sustain successful projects.

This years program will continue to foster network building, showcase skills and knowledge from the community and encourage and strengthen skills and knowledge necessary for successful engagement with the movement, mirroring previous iterations of Train the Trainer session.

Please note that we try to cater for all dietary preferences within our realm of possibilities. In our experience, providing halal and kosher food is really pricey and a question of availability. For budget reasons, no halal or kosher meat can be served. Participants who choose halal will be served a vegetarian dish; participants, who choose kosher, will be served a vegetarian kosher dish.

Please make sure to book your room at Seminaris CampusHotel Berlin before Monday, January 20, 2020. All rooms include Wi-Fi and have their own bathroom. The link to the hotel booking form will be sent to you in the confirmation email after you have registered. As your expenses related to WMSummit are covered via your annual plan grant (APG), you will need to pay for your accommodation. The hotel room needs to be paid upon arrival at the hotel.

WMDE has blocked a number of twin-bed rooms at Seminaris Campus HotelBerlin. All rooms include Wi-Fi and breakfast and have their own bathroom. Depending on your chosen dates, WMDE will book a room for you. As accommodation is funded by a grant and we are trying to keep expenses down; please be aware that you will need to share a twin-bed room. The rooms are all equipped with two separate beds. If you do not feel comfortable sharing a room, please indicate your reasons (especially disability requirements) in the subsequent comment field. We will try our best to accommodate any special requests.

A single room at Seminaris CampusHotel Berlin will be booked by the WMF travel department. All rooms include Wi-Fi and breakfast. To submit your accommodation preferences to WMF, please make sure to follow the link that will be sent to you after registration.

As you will arrive by plane, we will book your flight via a travel agency. The travel agency will forward your email address to the airline after the flight has been booked. Please note that the visa application process can be long and time consuming. We recommend to register and get an appointment (if required, depending on country of origin) at the German embassy or consulate as early as possible, ideally right after registering. Moreover, please note that if you are transiting certain countries (e.g. USA, United Kingdom) en route to Berlin, you may also be required to apply for a transit visa. After you have successfully completed the visa application process, please inform us via wmsummit@wikimedia.de.

WMDE will assist you with your visa application and will provide the following documents:
* Letter of invitation
* Foreign travel health insurance
* Copy of registration of association of WMDE

The documents will be sent to you via email. Please print these documents and bring them along to your appointment at the embassy/consulate. The Department of Foreign Affairs in Berlin confirmed that it is not necessary to present the original documents at the embassy/consulate. Prior to your appointment, we however advise you to double-check this with your contact person at the embassy/consulate. Should the original documents be required, please inform us accordingly and we will send them to you in the fastest manner.

* Travel booking confirmation or itinerary (group 1 self-organized, group 2 and 4 provided by WMDE, group 3 provided by WMF)

The Department of Foreign Affairs in Berlin will assist WMDE by forwarding the event and participant information (First Name, Middle Name, Last Name, Date of Birth, Address, Passport Information, Nationality) to the embassy or consulate of your indicated choice. This is to pre-inform about the existence of WMSummit20 and to confirm that WMDE invited you to participate in the event. This course of action proved to be beneficial for visa applicants.
